How The Bag Hotel Shares Your Information with Guardians

This page supplements our main Privacy Policy and explains specifically how your personal information is shared with Guardians as part of using our Services. It does not replace our main Privacy Policy — please read both together.

1. What is a Guardian?

A Guardian is an independent local business (such as a cafe, hotel, or shop) that has been verified and onboarded to The Bag Hotel network to provide storage, check-in, night safe, toolshed, or fulfillment services at their physical location. Guardians are not employees, agents, or representatives of The Bag Hotel, LLC.

2. What information is shared with a Guardian

When you make a drop-off, the Guardian handling your transaction receives:
- Your phone number, if provided at drop-off (used to look up your account and send updates)
- A photo of your item, taken at drop-off for identification and protection purposes
- Your seal and PIN reference (the Guardian does not see your PIN in advance — it is generated for you to provide at collection)
- Basic transaction details: item type, size, drop-off time, and selected duration
- Your membership tier, if applicable (for example, Veranda or Veranda Plus), so the Guardian can apply the correct pricing and service level

A Guardian does not receive your full account history, payment card details, or any transactions you've made at other Guardian locations.

3. Why this information is shared

We share this information with Guardians because it is necessary for them to:
- Verify your identity and item at collection
- Process your drop-off and collection through the Guardian app
- Apply correct pricing, including any membership discounts
- Assist you in the event of a dispute or Bag Protection claim, as described in our Dispute Resolution & Claims Policy

4. How long Guardians retain this information

Guardians access your transaction information through the Guardian app for the duration of your active storage period, plus a limited window afterward to assist with any collection issues or disputes. Guardians do not independently store or export your information outside of the app.

5. Your choices

You can decline to provide a phone number at drop-off, though this may limit our ability to send you updates or assist you if you lose your PIN.
